Project overview

This project focused on donation logistics and operational scheduling automation, separate from the Distribution Workflow application.

The integration connected donation/intake workflows, Cigo Tracker logistics data, and shared Google Calendars so operational teams could rely on recurring automated synchronization instead of manually maintaining calendar events.

The system handled pickup and pickup-plus-delivery jobs, mapped source job information into calendar events, reflected updates when source data changed, and avoided unnecessary duplicate events.

The challenge

Donation pickup and logistics information needed to move between intake, routing/logistics, and shared scheduling tools without exposing private job data or requiring staff to manually recreate the same operational details in calendars.

My role

I built and maintained API/webhook integrations connecting donation and intake workflows, Cigo Tracker logistics data, and Google Calendar events.

My work included PHP and WordPress/custom integration code where applicable, Google Cloud API configuration, data mapping, external ID reconciliation, scheduled synchronization, API error handling, production troubleshooting, and recurring sync maintenance.

Approach and implementation

  • Handled Jotform API and webhook inputs as part of donation/intake workflow automation.
  • Retrieved logistics jobs from Cigo Tracker and handled Pickup and Delivery job types where supported by the implementation.
  • Mapped Cigo job information into separate operational Google Calendars, including truck/job details where available.
  • Updated existing calendar events when source job data changed and used external IDs to avoid unnecessary duplicates.
  • Ran the synchronization on a recurring schedule and monitored production behavior for API or data-mapping issues.
